Outlook Keeps Asking for Your Password? Here’s Why and How to Fix It

You enter the correct password. Outlook accepts it. Your email starts syncing.

Then, a few minutes later, or the next time you open Outlook, the same password box appears again.

This frustrating cycle is commonly called an Outlook password prompt loop. Although the message makes it look like your password is wrong, the real problem is often somewhere else.

Outlook may be unable to reuse its Microsoft 365 authentication token. Windows may have saved an outdated credential. The Microsoft sign-in broker may not be working correctly. Your Outlook profile may be damaged. In a business environment, a Conditional Access or device-compliance policy may be repeatedly forcing authentication.

Repeated prompts should not simply be ignored. Microsoft warns that excessive authentication requests can train users to approve sign-ins without thinking, increasing the risk of entering credentials into a malicious prompt.

Why Outlook Can Reject a Correct Password


Modern Outlook authentication involves several layers.


Layer 1: Your password and account

Your Microsoft account or work account must be active, licensed where required, and allowed to sign in.


Layer 2: The authentication token

With Modern Authentication, Outlook generally does not send your password to Microsoft 365 every time it checks your email. It uses OAuth-based access and refresh tokens.

Your password can therefore be correct even if the token stored on the computer has expired, is corrupted, has been revoked, or is associated with an old account state.


Layer 3: Windows authentication

Windows uses components such as the Web Account Manager (WAM) to manage authentication handshakes and maintain tokens for connected accounts. WAM also helps applications use Windows Hello, Conditional Access, security keys, and accounts already known to Windows.


Layer 4: The Outlook profile

Your Outlook profile contains your accounts, settings, data-file information, mailbox configuration, and connection details. Damage inside that profile can prevent Outlook from completing an otherwise valid sign-in.


Layer 5: Business security policies

For Microsoft 365 business accounts, Microsoft Entra ID can evaluate MFA, device compliance, sign-in risk, location, session lifetime, and Conditional Access policies before issuing or renewing access.

The password prompt is only the visible symptom. The failure may exist in any of these layers.

Common Reasons Outlook Keeps Asking for a Password


1. Outlook Is Not Completing Modern Authentication

Modern Authentication uses OAuth tokens rather than repeatedly relying on a stored username and password.


Problems can occur when:

  • An older Outlook installation is still using legacy authentication behavior.

  • An account was configured manually using outdated settings.

  • A mailbox was migrated from on-premises Exchange to Microsoft 365.

  • Outlook is connecting to both cloud and on-premises resources.

  • Autodiscover returns an old or incorrect endpoint.

  • A third-party account was added using the wrong account type.

Microsoft documents hybrid and migrated-mailbox situations in which Outlook may limit itself to older RPC-compatible authentication methods and fail to use Modern Authentication correctly.


What to do: Update Outlook, remove obsolete account configurations, verify Autodiscover in business environments, and re-add the account through Outlook’s automatic Microsoft 365 setup.


Do not enable Basic Authentication as a general workaround. A current Microsoft 365 environment should be repaired so that Modern Authentication works correctly.


2. Windows Credential Manager Has an Old Password


Windows Credential Manager stores sign-in information for websites, applications, networks, and connected services. Outlook may continue trying an outdated saved credential even after you have entered the new password inside Outlook.


This often happens after:

  • A Microsoft 365 password change.

  • A company password expiration.

  • An account migration.

  • A domain or email-address change.

  • Moving the Outlook profile to another computer.

  • Removing and re-adding Office applications.


In this situation, typing the password repeatedly may provide only temporary relief because Outlook or another Microsoft 365 component continues loading the older saved identity.


3. The Microsoft 365 Token Cache Is Damaged


After a successful sign-in, Microsoft 365 applications rely on tokens stored and maintained through Windows identity components.


A damaged token cache can create symptoms such as:

  • Outlook showing Need Password.

  • The sign-in window repeatedly reopening.

  • A blank or disappearing Microsoft login window.

  • Outlook connecting temporarily and then disconnecting.

  • Word, Excel, Teams, and OneDrive asking for sign-in too.

  • The password working in a browser but not in Office applications.


Microsoft documents situations in which missing or damaged package information for the Microsoft Entra WAM plugin or the personal Microsoft account component causes automatic authentication to fail. Microsoft recommends using its sign-in troubleshooter or repairing the relevant authentication package.


4. A Password, MFA, or Security Change Invalidated the Session


Tokens can be revoked or require reauthentication after events such as:

  • A password reset.

  • Enabling or changing MFA.

  • Revoking active sessions.

  • Disabling and re-enabling an account.

  • A device becoming noncompliant.

  • A security administrator changing access policies.

  • A risky sign-in detection.

  • Removing a user’s Microsoft 365 license temporarily.


One fresh sign-in is expected after a significant account change. Prompts that continue after successful authentication indicate that Outlook cannot save, share, or renew the resulting token.

5. The Outlook Profile Is Corrupted


An Outlook profile stores more than the email address. It also stores mailbox connections, data-file paths, account settings, and information about how Outlook should access the mailbox.


A damaged profile may cause:

  • Recurring password requests.

  • “Trying to connect” messages.

  • Mailboxes that stop updating.

  • Missing folders.

  • Shared-mailbox errors.

  • Outlook opening correctly under a different Windows user.

  • The same account working in a new Outlook profile.

Microsoft provides both a profile repair option and a profile picker for creating a clean profile.


6. Windows Has Duplicate or Conflicting Microsoft Accounts


A computer can contain the same email address in several places:

  • Outlook.

  • Office account settings.

  • Windows Email & accounts.

  • Windows Access work or school.

  • OneDrive.

  • Teams.

  • Microsoft Store.

  • Credential Manager.

If one entry represents an old tenant, former employer, previous password, or disconnected organization, Microsoft applications may repeatedly select the wrong identity.

This is especially common when someone uses both a personal Microsoft account and a work account with similar email addresses.


7. Conditional Access Is Requiring Sign-In Too Frequently


In a business environment, repeated prompts may be working exactly as configured, even when the configuration is not providing the intended user experience.


Microsoft Entra ID can control:

  • Sign-in frequency.

  • Persistent browser sessions.

  • MFA requirements.

  • Device compliance.

  • Approved applications.

  • Trusted locations.

  • Sign-in risk.

  • User risk.


Microsoft notes that combining multiple reauthentication settings can produce more prompts than expected. The most restrictive applicable setting controls when the user must sign in again. Microsoft also recommends reviewing the authentication details and session-lifetime policies applied to affected sign-ins.

Prompts every few hours or every day across multiple users are therefore more likely to be a policy or device-identity problem than individual Outlook profile corruption.

8. Shared Mailboxes Were Added Incorrectly


Shared mailboxes normally do not require employees to know or enter the shared mailbox’s password. Users access them through delegated permissions granted to their own accounts.


Recurring prompts can appear when:

  • The shared mailbox was added as a completely separate Exchange account.

  • Full Access permissions are incomplete or outdated.

  • Automapping conflicts with a manually added copy.

  • The shared mailbox exists in Exchange Online while related resources remain on-premises.

  • A hybrid Exchange public-folder configuration is involved.


Microsoft documents a hybrid scenario in which adding a shared mailbox as a second Exchange account can trigger repeated credential requests.


9. VPN, Proxy, DNS, or Security Inspection Is Interrupting Authentication


Modern Authentication depends on reliable access to Microsoft sign-in and service endpoints.

A VPN, web-filtering appliance, proxy, firewall, or SSL/TLS inspection service can interrupt:

  • The initial Microsoft login page.

  • Token issuance.

  • Token refresh.

  • Autodiscover.

  • Exchange Online connectivity.

  • Conditional Access location evaluation.

A useful clue is whether Outlook works on a mobile hotspot or home network but fails on the company network or VPN.


10. Outlook or Windows Is Out of Date


Authentication components are updated through both Microsoft 365 Apps and Windows.

To update Microsoft 365 Apps, open an Office application and go to:

File → Account → Update Options → Update Now

Microsoft recommends keeping Office updated and provides built-in repair options for damaged installations.


How to Fix Outlook Password Prompts for Personal Users

Work through these steps in order. Starting with the least destructive checks protects local Outlook data and avoids unnecessary profile rebuilding.


Step 1: Test the Account in a Browser

Open Outlook on the web and sign in directly.

If browser sign-in also fails

Investigate:

  • Incorrect password.

  • Locked or compromised account.

  • Expired password.

  • MFA or verification failure.

  • Subscription or mailbox problem.

  • Microsoft service issue.


If browser sign-in works

Your password and mailbox are probably valid. Focus on:


  • Windows Credential Manager.

  • Outlook’s token or profile.

  • Microsoft 365 Apps.

  • Windows account connections.

  • Network configuration.


This single test can prevent an unnecessary password reset.


Step 2: Restart the Computer and Install Updates


Do not just close the Outlook window. Restart Windows so that background Office, OneDrive, Teams, and authentication processes are also restarted.

Then:

  1. Install pending Windows updates.

  2. Open Word, Excel, or classic Outlook.

  3. Select File → Account.

  4. Select Update Options → Update Now.

  5. Restart the computer again if an update requires it.

Also confirm that Windows date, time, and time zone are correct. Authentication can fail when a device’s clock is significantly incorrect.


Step 3: Check Which Account Office Is Using


Open Word or Excel and select:

File → Account

Look for:

  • An old email address.

  • Two copies of the same account.

  • A personal Microsoft account instead of a work account.

  • An activation or subscription error.

  • A warning that sign-in is required.


Where an affected account clearly shows an error, sign out of that account, close all Office applications, reopen an Office application, and sign in again.

Be aware that signing out can temporarily remove Microsoft 365 activation until you sign back in. Microsoft generally recommends remaining signed in during normal use.


Step 4: Clear Only the Relevant Cached Credentials


For classic Outlook on Windows:

  1. Close Outlook, Teams, OneDrive, Word, Excel, and other Office applications.

  2. Search Windows for Credential Manager.

  3. Open Credential Manager Control Panel.

  4. Select Windows Credentials.

  5. Expand entries that clearly relate to the affected account, Outlook, Office, Microsoft Office, Microsoft 365, ADAL, OneAuth, or a previous organization.

  6. Remove only entries connected to the affected account.

  7. Restart the computer.

  8. Open Outlook and complete the fresh Microsoft sign-in.


The exact credential names vary between Office and Windows versions.

Deleting an outdated credential does not delete email from the mailbox. It removes saved authentication information and forces the application to request a fresh sign-in. However, it can sign the account out of related applications.

Do not remove unrelated network, server, or Remote Desktop credentials.

On a company-managed computer, contact IT before removing organizational credentials.


Step 5: Check Windows Account Connections

Open:

Settings → Accounts

Review:

  • Email & accounts

  • Access work or school


Look for an old, duplicated, or disconnected account.

A personal user may remove a clearly obsolete account and then reconnect the correct one. However, do not disconnect an active company account from Access work or school on a managed computer without authorization. Doing so may remove device management, compliance, certificates, or company access.


Step 6: Repair the Outlook Account or Profile


In classic Outlook:

  1. Open Outlook.

  2. Select File.

  3. Select Account Settings → Account Settings.

  4. Select the affected account.

  5. Select Repair when available.

  6. Complete the wizard.

  7. Restart Outlook.


Microsoft notes that the Repair button is not available for every Outlook and Exchange configuration.


Step 7: Test With a New Outlook Profile


A new profile is one of the best tests when webmail works, but classic Outlook continues requesting credentials.

  1. Close Outlook.

  2. Hold Shift while starting Outlook.

  3. Select Options in the profile picker.

  4. Select New.

  5. Enter a temporary profile name such as Outlook-Test.

  6. Add the affected email account.

  7. Open Outlook using the new profile.

Microsoft also supports opening the profile picker through:

Outlook.exe /profiles

Do not immediately delete the old profile. First confirm that:

  • New mail is syncing.

  • Calendar and contacts appear.

  • Shared mailboxes load.

  • Signatures and local settings are available.

  • Any local PST archives are accounted for.


Creating a profile rebuilds Outlook’s account configuration without immediately destroying the old setup.


Step 8: Repair Microsoft 365 Apps


In Windows 11:

  1. Open Settings → Apps → Installed apps.

  2. Locate Microsoft 365 or Microsoft Office.

  3. Select the menu beside it.

  4. Select Modify.

  5. Run Quick Repair first.

  6. Test Outlook.

  7. If the issue remains, run Online Repair.


Online Repair is more complete and may require the user to sign back into Office. Microsoft recommends it when a basic repair does not fix the installation.


Step 9: Use the Microsoft 365 Sign-In Troubleshooter


When Outlook, Word, Teams, and OneDrive are all affected, the problem may be deeper than the Outlook profile.

Microsoft provides sign-in troubleshooters that can detect common Microsoft 365 identity and activation problems. In documented WAM failures, Microsoft distinguishes between the Microsoft Entra WAM plugin used for organizational accounts and the Live ID component used for personal Microsoft accounts.

Re-registering authentication packages, deleting token-broker folders, or editing Office identity registry keys should be treated as advanced work. Avoid copying registry commands from an unrelated forum without confirming that they apply to your Outlook version and account type.


Step 10: Check VPN, Proxy, and Network Security


Temporarily test Outlook with:

  • The VPN disconnected.

  • A different trusted internet connection.

  • A mobile hotspot.

  • Third-party web filtering paused, where safe and authorized.


If Outlook works on another network, the password is probably not the root cause.

Business users should not permanently bypass security controls. The test should be used to identify whether the VPN, proxy, DNS, firewall, TLS inspection, or location-based Conditional Access policy requires review.


Step 11: Re-Add the Account Only After Safer Fixes Fail


Removing and re-adding an Outlook account can rebuild its local configuration, but it should not be the first step.


For Microsoft 365 and Exchange accounts, confirm that mailbox data is synchronized to the server. For POP accounts, local mail may not exist on the server.

Microsoft warns that removing an account from classic Outlook deletes its offline cached content from that profile, although it does not deactivate the email account itself.

How Businesses Should Troubleshoot Repeated Outlook Prompts


In a business environment, fixing one computer is not enough if the root cause exists in Microsoft 365, Microsoft Entra ID, Exchange, or the network.


1. Determine the Scope Before Changing Anything

Ask four questions:

  1. Is one user affected or many?

  2. Is the user affected on one computer or every device?

  3. Are only Outlook users affected, or do Teams, OneDrive, and Office also prompt?

  4. Did the issue begin after a policy, password, MFA, migration, network, or Office update?

2. Check Microsoft 365 Service Health


Before making local changes across multiple endpoints, review Microsoft 365 service health in the admin center.

A widespread Exchange Online, authentication, licensing, or Microsoft 365 Apps issue can look like a collection of individual password problems.

Document:

  • When the issue began.

  • Which users and offices are affected.

  • Outlook build numbers.

  • Windows versions.

  • Error codes.

  • Whether Outlook on the web works.

  • Whether the issue follows the user or the computer.


3. Review Microsoft Entra Sign-In Logs


Microsoft Entra sign-in logs allow administrators to examine:


  • The affected user.

  • The client application.

  • The requested resource.

  • Authentication requirements.

  • Failure reasons and error codes.

  • Device compliance and join state.

  • Conditional Access results.

  • Authentication methods.

  • Correlation and request IDs.

Microsoft recommends using the who, how, and what details to narrow down the sign-in instead of reviewing every field without a clear scope.


For the affected event, inspect:


  • Basic info.

  • Device info.

  • Authentication Details.

  • Conditional Access.

  • Failure reason.

  • Session-lifetime policies applied.


If the sign-in succeeds but Outlook continues prompting, compare interactive and non-interactive sign-in events around the same time.


4. Review Conditional Access and Session Policies


Check for overlapping settings such as:


  • Conditional Access sign-in frequency.

  • Persistent browser session.

  • Legacy “Remember MFA” settings.

  • Security Defaults.

  • Device-compliance requirements.

  • Trusted-location exclusions.

  • Risk-based access policies.

  • Authentication-strength requirements.


Microsoft explains that the most restrictive session setting takes precedence. Combining several reauthentication mechanisms can cause users to authenticate more often than expected.


Do not simply weaken MFA to stop the prompts. The goal is to identify whether the policy is intentionally requiring reauthentication or whether the endpoint is failing to retain a valid token.


5. Verify Device Registration and Single Sign-On


Microsoft Entra–joined and hybrid-joined Windows devices can receive a Primary Refresh Token, or PRT, which supports single sign-on across applications.


If device registration is broken or the expected PRT is unavailable, individual Office applications may request authentication separately. Microsoft notes that devices without a usable Entra identity may generate multiple prompts because each application can require its own OAuth refresh token.


Administrators should verify:

  • Microsoft Entra join or hybrid-join status.

  • Device compliance.

  • Windows account registration.

  • PRT availability.

  • WAM health.

  • Time synchronization.

  • Whether the user recently changed devices or Windows profiles.


6. Inspect Shared Mailbox Configuration


For recurring prompts tied to a shared mailbox:

  • Confirm the user has the intended Full Access permission.

  • Confirm Send As or Send on Behalf permissions separately.

  • Check whether the mailbox was both automapped and manually added.

  • Determine whether it was added as another mailbox or as a separate Exchange account.

  • Review hybrid public-folder dependencies.

  • Test the mailbox through Outlook on the web.

  • Test with a clean Outlook profile.


A prompt requesting the shared mailbox’s own password is a strong sign that Outlook may be treating it as an independent login rather than delegated access.


7. Review Hybrid Exchange and Autodiscover


In hybrid environments, recurring prompts may come from Outlook contacting both Microsoft 365 and an on-premises Exchange resource.


Investigate:

  • Autodiscover DNS and responses.

  • Mailbox migration status.

  • Public folders.

  • Old Exchange endpoints.

  • Proxy and authentication methods.

  • Modern Authentication configuration.

  • Whether Outlook is selecting an older connection method.

Registry-based Modern Authentication fixes should be deployed only after verifying the exact documented scenario and backing up the affected configuration. Microsoft explicitly warns that incorrect registry changes can cause serious problems.


8. Check RDS, AVD, VDI, and Shared Computers


In Remote Desktop Services or non-persistent virtual desktops, repeated sign-ins may be caused by licensing or authentication data that is not persisting between sessions.


Verify:

  • The Microsoft 365 plan supports shared computer activation.

  • Shared computer activation is enabled.

  • Each user has the required license.

  • Office licensing tokens can be created and renewed.

  • The user profile can write to the token location.

  • Profile or FSLogix containers are loading correctly.

  • Required identity and licensing folders are not being excluded.

  • The environment has reliable connectivity to Microsoft licensing services

  • Single sign-on is configured where appropriate.


Microsoft requires shared computer activation for supported multi-user Office scenarios and recommends SSO to reduce repeated activation prompts. Microsoft also documents token roaming for non-persistent virtual desktops.


9. Compare Office Builds and Update Channels


When only some employees are affected, compare:

  • Outlook version.

  • Microsoft 365 Apps build.

  • Update channel.

  • Windows build.

  • Security software version.

  • VPN client version.

  • Whether new Outlook or classic Outlook is being used.


If every affected device received the same recent Office, Windows, VPN, or security-agent update, investigate that common change before modifying individual mail profiles.


What Not to Do When Outlook Keeps Asking for a Password


Do not repeatedly enter your password into an unexpected window

Confirm that the prompt belongs to Microsoft or your legitimate email provider. Cancel suspicious prompts and sign in through the official application or web portal instead.


Do not keep resetting the password when webmail already works


Every password reset can invalidate additional sessions and create more stale credentials on other devices.


Do not delete an Outlook profile before testing a new one


Create a temporary test profile first. Preserve the old profile until local archives, signatures, accounts, and settings have been verified.


Do not delete PST files


PST files may contain locally stored email that does not exist in Microsoft 365. They are not the same as rebuildable OST cache files.


Do not disconnect a managed work account without approval


Removing a company connection from Windows can affect Intune management, certificates, device compliance, BitLocker recovery access, VPN configuration, and company applications.


Do not enable legacy authentication as a shortcut


The permanent solution is to repair the Modern Authentication path, not reduce account security.


Do not deploy a registry “fix” to every computer without confirming the cause


A registry change written for an old Outlook, Exchange, or Windows version may not apply to a current Microsoft 365 installation.

The password may be correct, but Outlook may be unable to obtain or reuse a valid authentication token. Outdated credentials, a corrupted token cache, Modern Authentication problems, Outlook profile damage, and Microsoft 365 security policies can all cause the prompt to return.


How do I clear cached Outlook credentials?

Close Outlook and other Microsoft 365 applications. Open Windows Credential Manager, select Windows Credentials, and remove only the entries clearly associated with the affected Outlook, Office, or Microsoft account. Restart the computer and sign in again.


Will clearing Credential Manager delete my emails?

No. Removing a saved credential does not delete messages from the mail server. It removes stored sign-in information. However, it may sign you out of Outlook and related Microsoft applications, so make sure you know the correct password and can complete MFA.
